Role Overview:

We are actively searching for a dynamic and enthusiastic Administrative Services Manager to join our thriving team. As an Administrative Services Manager, you will hold a crucial position, overseeing and coordinating various administrative functions within our organization. Your exceptional organizational skills, attention to detail, and ability to lead and motivate teams will be instrumental in optimizing our daily operations and ensuring a smooth workflow. What will you do in this role?

·         Plan, organize, direct, control and evaluate the operations of business to support sales, marketing, and technical staff as well as management team.
·         Document corporate governance and regulatory compliance procedures, monitor day-to-day operations to ensure compliance with procedures, report any violation to management.
·         Plan and approve budgets for office equipment and supplies, monitor inventory and arrange for replenish to avoid interruption on business operation.
·         Organize and coordinate office events, including meetings, workshops, seminars, orientations, and training sessions.

·         Coordinate and streamline administrative processes related to building, delivering, and installing docks.
Prepare reports and briefs for management meetings, keep track of action items, and provide feedback to management on the effectiveness.
·         Manage sales contracts, purchasing contracts, and labor contracts for each of the entities within the organization, keep track of any changes or updates.
·         Ensure business records, correspondence, and documents are securely, accurately, and professionally prepared and filed in accordance with the company’s standards.
·         Arrange for employee onboarding, ongoing career development, continued education and skill development programs.

·         Participate in year-end performance review, provide suggestions on corporate structure, operation efficiency and compensations plans, to help keep the business competitive.

Job Requirements:

Expected Qualifications

·         A bachelor’s degree in business administration, material science, engineering, or other fields that relate to our business is mandatory.

·         Minimum 5 years of experience as an Administrative Manager in administrative and/or operation-supporting functions in organizations with various product and service lines.

·         Comprehensive understanding of administrative processes, including records management, organizing team works, purchasing, and acting as a key contact with business partners, customers, government departments, and different teams within the organization.

·         Outstanding analytical skills, ability to extract key information from mass data and derive business insights to support management making decisions.

·         Training experience is preferred, with the ability to pass on your understanding of the business and work experience to other employees.

·         Proficiency with Microsoft Office suite, including Word, Excel, and PowerPoint; experience in using ERP system will be an asset.

·         Leader and team player, ability to develop and promote positive team culture in work environment.
